"How to write a good fair brief?" - a handbook
We are often asked by customer what information need to be included in a fair brief and what we really need to know to design a stand to fulfill the customer's wishes and recommendations. Here are some guidelines to answer your questions.
Basic information
Before we start working, we will be very happy to get to know you better. This will let us better meet your needs and expectations regarding the project.
Please provide a brief characteristic of your company by answering the following questions:
- How long have you been on the market?
- What is your area of business and what do you sell?
- What are you core values?
Main assumptions regarding the fair stand
First of all, your expectations for the new fair stand must be specified.
Consider the following questions:
- What are the goals of your presence in the fair? Brand awareness, boosting sales, building relations with your current customers?
- Who is the stand's target group?
- What products are you going to show in the stand? Are there going to be any new products, or just your standard range?
- What area are you going to use to present the products? What would be the best way to present the products to highlight their strong points?
- Is your visual identification clearly specified and would you like the stand design to match it? If yes, can you provide details on your identification? What colors should be used with the stand?
- Will there be your competition present in the fair? If yes, what stands do they have and in what way would you like yours to stand out? If possible, specify the competing companies or their websites.
- What budget are you going to have for the stand?
- How many employees will be working at the stand?
- Are you going to have catering or cafe service for your guests?
- What information materials are you going to use at the stand?
The appearance
Should the stand's appearance match your visual identification, your current promotional campaign or your marketing materials? Any kinds of printed materials, such the corporate identity book, brochures or leaflets will be appreciated.
Technical issues, such as the following, play an important role, too:
- Stand types (island, open on three, two or just one side),
- Where is your stand placed in the exhibition hall? A location map provided to you by the organizer will be helpful.
- Is your stand to be open and invite lots of visitors, or would you like to focus on a selected group?
- What part of the stand will be the meeting area for talks with customers? How many tables will there be? Would you like to have a classic cafe with chairs, or rather an open space with sofas?
- Are you going to have a closed meeting room?
- Would you like to have an information counter in the stand?
- What about your kitchen facilities? What equipment and furniture are required there?
- Are you thinking of a stand built on a platform?
- What kind of graphics should be used at the stand? Do you have any ready graphic materials we can use for printouts, banner, etc.?
- Will you need multimedia gear? If yes, please specify what you will need.
The above information will let us create a perfect stand that will meet your expectations and make your presence in the fair as effective as possible.
Based on your goals, we will inform you how much time is needed to prepare a design offer and a quotation. We suggest naming a single contact person in your team, responsible for making arrangements and specifying detailed expectations.
What you should know before the fair...
It is now hard to find fair organizers in Poland and abroad who would disregard occupational and health safety regulations, which in turn influences regulations
in force at exhibition sites. Oftentimes, it spells additional effort for the exhibitor. We understand that and would like to assist you with obtaining technical approval from the organizer and filling in all forms related to the technical aspect of the project. In a word, we will do the paperwork for you.
